Guide to managing International Transfer Certificates for your members in SPORTY

 ITC’s are required for players aged 10+ who are either:

  • registering to play football in New Zealand for the first time and who’s Nationality and/or Country of Birth is not New Zealand 
  • last played overseas (regardless of nationality country of birth)

As registering in Sporty has become easier for members, data is being entered more accurately, and in some cases resulting in new records being created instead of updating existing records migrating from Comet.

Without the history, Sporty triggers an ITC, as it believes this is their first time registering to play football in NZ.

What do the different ITC Statuses Mean?

  • IntRequired = The registration requires international clearance. Updated the International Clearance Transfer section in Sporty.
  • IntPending = The international clearance has been lodged to FIFA/TMS and is awaiting an outcome.
  • IntEntered = International clearance details have been captured in the system and the case is progressing but is yet to be lodged or marked as pending.

What do we need to do?


Attached is the list of players that currently require an ITC for your review and action. Follow the flow diagram below for each to determine the correct action to take.
 
Complete the ITC process (Submitting an Incoming Transfer Request) and submit to NZF for processing

What happens once we submit to NZF? 

  • If an ITC is not required, NZF will Activate the registration.
  • If an ITC is required, this will be processed as per Stage 2 of the ITC Incoming Transfers Process

How can I track the status of ITC’s?

There are two methods that you can use, within Sporty, to monitor the status of any ITC’s that are pending approval:

  • Super CRM Report
  1. Create and save a custom filter shows those registrations where their status is ITC Required, ITC Pending or ITC Entered.
  2. In the SuperCRM ‘People’ tab, click on the ‘Filters’ button
  3. Click ‘Create New Filter’ at the top
  4. Enter the following information in the relevant fields:
    1. Year = 2026
    2. Folder = Football
    3. Organisation Form = Football Player Registration 2026
    4. Status = IntEntered, IntPending and IntRequired (select all three options)
    5. Scroll to the bottom of that page and tick the ‘Save Filter’ box
  5. A field will appear with a name in it – you can keep this filter name, or rename it to something else so you can identify it later on.
  6. Once you are happy with the name, click on the green ‘Save’ button.

This will now filter all of your registrations to just those whose status is as per above.

  • If you navigate away from the SuperCRM widget and come back, the filter will reset. To reapply your filter, simply:
    • Click on the ‘Filter’ button
    • Click the circle button next to the filter you have just saved.
    • Click on the green ‘Apply’ button to.

 
Using the Football Player Registration Form

  1. Navigate to the ‘Online Registrations’ widget within sporty
  2. From the menu on the left hand side, select ‘2026’ and then ‘Football’. This will bring up all football registration forms your club is using.
  3. Click on the name of the ‘Football Player Registration (2026)’. You should then see a list of players registered to your club via this form.
  4. Using the ‘Status’ filter in the bar at the top, select one or all of the IntEntered, IntPending and IntRequired statuses to show only those registrations.
  5. From here you can export the information if needed, using the green ‘Export’ button in the top right.
